Initial property visit and valuation
Advice on presentation. Furnished or unfurnished; remedial improvements
Full marketing suite of professional standard photographs, 360 degree tours, floorplans, advertising on Vouch, and www.malcolmsproperties.co.uk
Pre-qualified leads are prioritised and accompanied viewings arranged with feedback
Tenant referencing for up to two tenants with Vouch Landlord and Tenant Services
ID Checks
Right to Rent Checks
Financial Credit Checks
Obtaining references from current / previous employers / landlords ( and any other relevant information to assess affordability )
Contract negotiation (amending and agreeing terms)
Arranging the signing of the assured shorthold tenancy agreement
Register landlord and tenantsā details, and protect the security deposit with the Deposit Protection Service (DPS)
Provide the tenant(s) with Deposit Certificate and Prescribed Information within 30 days
Prepare the Inventory, Condition Report and Risk Assessment
Attending the property to welcome tenant(s) on Check In
Confirm the Inventory and Schedule of Condition
Explain the operation of appliances
Highlight the location of utility meters, stop-cocks etc
Check that the smoke alarms and carbon monoxide detectors (if relevant) are present and in working order
MONTHLY MANAGEMENT FEE
14.4% inc VAT (12% + VAT) of the monthly rent
Collecting the rent on 1st of every month
Paying the landlord on the 1st of every month (or the nearest day if the 1st falls on a weekend or bank holiday)
Issuing a monthly statement
Inspecting the property in the first 6 weeks and preparing a report for both parties
Inspecting at least twice a year thereafter and preparing full photographic and written report to both parties
Managing annual gas safety inspections and issuing certificates to tenants
Managing Electric Installation Reports every 5 years and issuing certificates
Issuing a Legionella Risk Assessment at the beginning of the tenancy
Managing Energy Performance Certificates every 10 years
Check that smoke alarms and carbon monoxide detectors are in working order on each inspection
Responding to all maintenance issues with landlord approval and no āmark-upā on any contractor invoices

Termination of Management During a Tenancy (advising the tenant of the change and the position of the security deposit, transferring the security deposit to the landlord or new agent, notifying utility providers and local authority where necessary, returning all relevant documents held by the agent to the landlord. Submission of Non-resident Landlord Receipts to HMRC (Quarterly). Ā Remit and balance the financial return to HMRC on both quarterly and annual basis. Ā

Additional HMRC Reporting. (responding to any specific queries relating to either the quarterly or annual return from either
Landlord or HMRC).

Managing Contracts for Refurbishments over Ā£5,000 (arranging access, assessing the costs with any contractors, ensuring the work has been carried out with the specification of works, retaining any resulting warranty or guarantee). Ā
Ā£10% of the contractors net invoice.
Management Take Over Ā (Taking over the management of an ongoing tenancy, ensuring all statutory compliance has been undertaken, confirming everything under āSet Up Feesā, Receiving and Protecting the security deposit, Providing all the necessary legal documentation to the tenant). Ā
